Abstract

We participate various types of meetings routinely. For example, organizations like companies and universities hold meetings of many sizes.People participate meetings to solve problems they face or to get better ideas from other participants. We then carry out our work on the basis of what we discussed in such meetings. A knowledge activity which consists of personal activities and group meetings has been performed repeatedly. And a period of the knowledge activity will take about a week.

In personal activities, each individual writes notes or draws figures in order to memorize ideas or manage tasks. And in group activities, each individual shares information from notes created in personal activities with other membersfor discussions.After the meeting, meeting minutes are created as summaries of discussions based on the shared information.Therefore, there is a relation between the note shared in the meeting and the meeting minute.These contents created in knowledge activities contain the contextual information of knowledge activities implicitly.This contextual information remains in person's memory when notes and meeting minutes were created, but its information will be lost from the memory as time goes on. If the contextual information of knowledge activities is lost, it is difficult to understand the relation between notes and minutes.Therefore, it might be very hard to remember knowledge activities that we performed in the past. For keeping the contents created in knowledge activities and their contexts, we have to support the knowledge activity which consists of personal activities and group meetings and to record the process of creating contents.

In this paper, we present a system to create and accumulate group meeting minutes and personal activitylogs such as notes and figures. The system enables users to associate group meeting minutes with personal activity logs by quotation. The associated information can be treated as the contextual information of the minutes. And the system also enables the users to browse the minutes and related information simultaneously.

Moreover, we also present an experiment to confirm whether the users can recollect discussions in previous meetings. In the experiment, we asked questions about past discussions in two ways:first, to provide the users with meeting minutes as information about meetings;and second, to provide the users with meeting minutes and their related information.We evaluated the results of the experiment and we confirmed that the contextual information of the minutes enabled the users to recollect the past discussions in more detail.
